Program Coordinator
Capital EAP has an excellent opportunity open for a high-energy individual looking to learn from, and contribute to, a professional counseling organization. The right candidate will be business-minded and have a passion for helping people. The position is Monday through Friday 9am-5pm with some remote work included.
The Program Coordinator will provide direct support to the Chief Operating Officer, EAP Account Manager and customers of our Agency’s Employee Assistance Program (EAP). This role is ideal for a quick learner who enjoys working on a broad range of tasks and excels in a fast-paced, professional work environment.
This position provides support via telephone and in person to corporate contacts. The primary role of this position is to schedule corporate trainings, coordinate the training team, manage EAP accounts, and provide support to the administrative team. The Program Coordinator is instrumental in supporting and representing Capital EAP maintaining consistent contact with client companies HR and leadership teams
JOB REQUIREMENTS
- Provide direct support to the EAP administrative team and customers
- Schedule corporate trainings and coordinate training team
- Organize and manage EAP live workshops and webinars
- Coordinate monthly behavioral workshop trainings
- Work directly with agency trainers, including providing them with necessary training materials, coordinating timesheets and managing schedules
- Represent the EAP program and maintain communication with key assigned EAP client companies as their account manager including on-site meetings, phone and email communication
- Take inventory of program marketing materials and restock when necessary
- Present live orientations describing the services Capital EAP provides on-site at Capital EAP client companies
- Responsible for maintaining the Capital EAP database and to produce quarterly utilization reports for client companies and quarterly/annual invoices to client companies.
- Attend community and corporate events as a representative of Capital EAP as requested including vendor/benefit fairs
- Participate in staff meetings, and any required training
- Complete, update and provide marketing materials and documentation as required to maintain program contracts
- Assist with contract proposals for prospective companies as needed
- Responsible for preparation of materials for orientations, benefit fairs and agency trainings
- Assist with the monthly EAP newsletter including creation and article collection
- Responsible for agency social media updates and assisting with website updates
- Assist in setting up agency wide trainings and CEU (continued education unit) training events including scheduling and marketing with flyers, emails and social media updates
- Zoom account and scheduling management
- EHR maintenance including reports and quarterly funder updates
- Uphold the confidentiality policy and follow appropriate protocol for HIPPA compliance
- Positively represent our agency at all times
- Perform other duties as requested
QUALIFICATIONS
- Associate’s Degree with administrative experience preferred
- Customer Service Experience
- Ability to use Microsoft Office Suite, webinar software and an electronic health record is essential
- Excellent verbal, written communication and interpersonal skills preferred.
- Skilled in answering a multi-line telephone system.
- Ability to maintain effective working relationships with clients, staff and the community.
- Ability to multi-task in a fast-paced environment.
- Strong organizational skills with a high attention to detail.
- Knowledge of ethical and professional standards
- Ability and willingness to function as active and cooperative member of a professional team
