Summary:
The FT Food & Beverage Administrative Assistant is a prominent customer service position
representing the Association. Responsible for all administrative functions related to food and
beverage, this position also performs The Summit room scheduling for catered events, greeting
residents, visitors, vendors and employees in a pleasant and welcoming manner most often in
person but also by phone; delivering and collecting information as needed. The position maintains
the catering calendar, deposits and final payments; files and constantly updates the status of events
at The Summit, communicating to all parties involved. Observe physical inventory count with
management, process related spreadsheets. Provide spreadsheets & inventory verification to the
Accounting Manager by the second of the month.
Description of Duties:
Assist Restaurant Manager with all administrative duties.
Reports Flashes to Manager and Executive Director by email.
Review receiving paperwork and invoices, code and deliver to Accounting in a timely
manner
Shows The Summit and accepts room reservations/bar service contracts and pre-paid
payments activity from residents and guests.
Documents room/bar deposit and final payments, files and updates customer files,
including catering commissions.
Coordinates all catered room set ups and timing with Social Monitors, Custodial and
Maintenance crews.
Organize catered and portable Bar Service requests and schedule coverage.
Provides scheduled event information relevant to the Association to the Executive
Director.
Logs resident suggestions and complaints and report to the Executive Director.
Maintains workspaces and filing in a professional and organized manner.
Sorts and distributes incoming and inter-office mail.
Orders office products for Tavern at the Falls and the Summit
Assigns and reviews inventory counts and make spot verification.
Assists in food and beverage department as needed, including serving, bartending,
prepping and clean up and dishwashing.
Assists with training and management of staff in using proper food handling techniques
when manager is not available.
Assists with maintaining employee schedules for both The Tavern and The Summit.
Assists with employee time cards for payroll and maintains Leave Request forms process.
Acts as a member of the Safety Committee representing SCSCAI restaurants.
Reports all safety hazards to the Food & Beverage Manager.
Additional duties relevant to this position and as assigned by the Food & Beverage
Manager.
Compares and updates invoice pricing in inventory – excel
Assist in creating themed events – all areas
Assist Brinks with deposit pick up.
Assist management with EZ Links as needed
Essential Knowledge, Skills and Abilities:
Skilled in all areas of professional Customer service, with effective verbal and written
communication.
Ability to apply safe work practices.

Skilled in multi-tasking numerous projects at once.
Skilled and attentive to details, and taking initiative.
Ability to stay organized, set priorities and meet deadlines.
Knowledgeable and skilled in Computer use to include Microsoft Office Suite-WORD,
EXCEL and OUTLOOK.
Knowledge or familiarity with POS cash register system, EZ Links system is a plus.
Ability to maintain positive and pleasant demeanor under all conditions; even when
challenged to respond to negative comments.
Ability to follow written and oral instructions.
Other duties as assigned.
Machines and Equipment Used:
Those typical of an office and restaurant environment.
Minimum Qualifications:
High School Diploma or GED
Must possess a valid driver’s license and be at least 21 years of age
Must possess all applicable Southern Nevada Health District food handling and
Clark County Alcohol Awareness liquor clearances according to Nevada state law.
Previous experience in a Restaurant environment is a must.
Physical Demands and Work Environment:
• Physical demands: While performing the required duties of this job typical to that in a
commercial kitchen environment, the employee is regularly required to reach with arms and hands.
There is considerable walking, standing, bending, kneeling and lifting. The employee must be able to
lift and/or move up to 35lbs occasionally, and carry multiple serving trays. The employee will
occasionally be required to sit; stoop, kneel, crouch, or crawl.
• Work Environment: Involves everyday risks and discomforts with exposure to hot or cold
temperatures and light noise exposure typical of a restaurant environment. Requires performing job
functions in compliance with all SCSCAI policies, safety procedures, including but not limited to the
use of safe work practices with restaurant equipment, avoidance of trips and falls, observance of OSHA
and fire regulations and SNHD clean kitchen practices. Some work may be conducted outdoors.
